Overview
Every Rabbit printer has a designated area key operator: the person who keeps that machine stocked and handles the simple fixes. Doing these tasks yourself saves money and prevents unnecessary service calls from our vendor.
What an Area Key Operator Does
Receives toner shipments. Our vendor remotely monitors toner levels and automatically ships the needed cartridge to the designated area key operator. You do not have to order it.
Replaces toner in the printers you cover.
Recycles used cartridges. Used cartridges must not be thrown away — users return them to you.
Handles basic maintenance: loading paper, clearing jams and replacing staples.
Is listed on the printer. A sticker on the front panel of the printer shows your name, contact information, the services you offer, and the name of a backup area key operator.
Tell your users: Anyone who removes a used toner cartridge should return it to the area key operator rather than throwing it away.
Replace Toner
The touchscreen display alerts you when toner needs to be replaced. You can still scan documents when toner is low, but you cannot print or copy until the low cartridge has been replaced.
Toner replacement is performed with the power on.
Fold down the front panel.
Pull out the toner cartridge that needs replacement.
Remove the new cartridge from the box.
Insert the new cartridge into the slot. Each slot is labeled with a color, and each cartridge has a label that matches its slot — check that they match before inserting.
Close the front panel.
Set the used cartridge aside for recycling.
Do not shake the cartridge. Shaking a toner cartridge can scatter residual toner. Handle it steadily, and keep it level while you carry it.
Load Paper
The tabletop model has one paper drawer, at the base of the front.
The full-size standing model has four paper drawers, and each one can hold a different paper size or type.
Pull the drawer toward you to open it.
Drop in the appropriate size paper.
Adjust the top and side paper guides so they fit snugly against the paper.
Close the drawer.
Guides cause jams. Incorrectly set paper guides are one of the most common causes of paper jams. Every time you load paper, set the guides against the stack.
Clear a Paper Jam
Read the front panel display. It tells you there is a jam and shows you where the jam is located.
Check the paper path shown on the display to identify the area of the jam.
Open that area and look for the jammed paper.
Remove the paper using only your hands.
Close the machine and confirm the display clears.
The fuser gets hot. The part called the fuser gets hot during use. If the jam is near the fuser and it is very hot, wait 15 to 20 minutes for it to cool down before reaching in. Never use tools or sharp objects to remove jammed paper.
Replace Staples
These instructions apply only to the full-size standing model. The desktop model does not have built-in stapling.
Staples are stored in a part of the printer called the finisher, located just below and to the left of the display screen.
Remove the Empty Staple Cartridge
Pull the release handle to the left. The finisher slides out.
Find the small container with the green cover — the staples are inside.
Pull up on the gray handle and slide it out to the right.
Press down on the clear plastic lever with your forefinger and, at the same time, grasp the sides of the staple cartridge and pull it toward you and out of the holder.
Insert the New Staple Cartridge
Drop the new staple cartridge into the holder and press down until you hear a click.
Reinsert the holder into the finisher.
Close the finisher by sliding it to the right.
Run a test staple job to confirm it feeds correctly.
Troubleshooting
Display reports low or empty toner
Replace the cartridge with the matching color. Scanning still works; printing and copying do not.
You are out of spare toner
The vendor ships automatically based on remote monitoring. If a shipment has not arrived, contact ETS.
Repeated paper jams
Check that the paper guides sit snugly against the stack, and that the paper size in the drawer matches what was selected.
Jam near the fuser, very hot
Wait 15–20 minutes for it to cool. Hands only — no tools.
Stapler not feeding
Replace the staple cartridge in the finisher (standing model only). Confirm the cartridge clicked into the holder.
Error the panel can't clear, or hardware damage
Stop and contact ETS — this needs a vendor service call.
When to Escalate
Handle toner, paper, jams and staples yourself. Contact ETS when you see hardware faults, error codes the panel cannot clear, network or driver problems, or anything that would require a vendor technician.
