Speed Dials, Single Number Reach and Personal Settings
The Cisco Self Care Portal is a web page where you personalize your own district phone without submitting a work request. From it you can create speed dials, ring your desk phone and your cell phone at the same time, set up call forwarding, build a personal contact directory, change how your phone rings, and set your Phone Services PIN.
Signing in
Go to https://cucm-pub.voip.ad.fhda.edu/ucmuser/ in a browser and sign in with your MyPortal ID (CWID) and password.
The portal is only available on the district network. If you are working off campus, connect to the district VPN first, or you will get an error page. See Working Remotely with Your District Phone.
To sign out, click the arrow next to your name at the top right and select Sign Out. If you see an error message after signing out, you can ignore it.
The Phones tab
Under My Phones you will see each phone assigned to you — a desk phone, a Jabber soft phone, or both. If you have more than one phone number on your desk phone, each number appears as a separate entry.
Single Number Reach (ring your cell phone too)
Single Number Reach — sometimes called dual ring or Follow Me — makes an incoming call to your district number also ring another device, such as your cell phone.
Set it up
- Select Phones, then My Phones.
- Under Additional Phones, click the plus (+) sign.
- Enter the phone number. A description is optional but helpful.
- Check the box next to Enable Single Number Reach.
- Optionally check Create a schedule for this assignment to control the days and hours the second device rings.
- Click Save.
What to expect
- Your desk phone may ring once or twice before the second device starts ringing.
- If you answer on the other device, the caller cannot tell.
- Minutes on the alternate device are used for the call.
- If you don't answer on the alternate device, the call returns to your district voicemail — not your cell phone's voicemail. This is the main advantage of Single Number Reach: callers still hear your work greeting and messages still reach your district mailbox and email inbox.
If you're using a cell phone, check Advanced Settings for that entry. You may need to adjust the timing so the cell phone rings long enough for you to answer before your cell carrier's voicemail picks up. Click Save when you finish.
Remove an additional phone
Under Additional Phones, click the settings wheel next to the entry and select Delete. Select Edit to change its settings instead.
Move to Mobile (live transfer between desk phone and cell)
Move to Mobile lets you take an active call with you when you leave your office. Single Number Reach must be enabled for this feature to work — turn it on under Additional Phones first.
Desk phone to cell phone
- While on an active call, press the softkey below the dots (…) at the bottom right of the display until you see Mobility.
- Press the softkey below Mobility.
- Press the softkey below Select.
- Your cell phone rings. Answer it. You are now connected on your cell phone and the desk phone call ends.
There is no gap in the conversation and the caller will not notice the switch.
Cell phone back to desk phone
This works in two situations: the call was transferred to your cell using Mobility, or the call arrived on your cell through Single Number Reach. In both cases:
- Standing at your desk phone, hang up the cell phone. The caller is placed on hold and hears hold music.
- Press the flashing red line button on your desk phone within 5 seconds. If you wait longer, the call ends.
Speed dials
Your desk phone reserves the top two buttons to the left of the display for phone lines. The bottom three can be used for speed dials, unless your phone has more than two lines configured. Beyond those buttons, you can create up to 99 numbered speed dials.
Create a speed dial
- Go to Phones → Phone Settings.
- Click the small arrow to the left of Speed Dial Numbers.
- Click Add New Speed Dial.
- In the Number/URI field, enter the number. For an outside 10-digit number, enter 91 before the number — for example, 916501234567.
- Assign a Speed Dial number from 1 to 99.
- Click Save.
Use a speed dial that has a button
Press the button to the left of the display and the phone dials the number.
Use a speed dial that has no button
- On the phone keypad, press the speed dial code you assigned.
- Press the softkey below the dots (…) at the bottom right of the display.
- Press the softkey below Speed Dial. The phone dials the number.
You will need to remember or write down which code goes with which number. A short cheat sheet taped near the phone works well.
Delete a speed dial
In the list of speed dial numbers, click the X next to the entry, then click Yes.
Note: Speed dials are a desk phone feature. They are not available on the Jabber soft phone — use the Jabber contacts list instead.
Personal contacts and your Personal Directory
Add contacts in the portal
- Go to Phones → Phone Settings → Phone Contacts.
- Click Create New Contact.
- In the Display Name field, type the contact's first name. A list of matching names appears — select the right person and the remaining fields fill in automatically. Add home and mobile numbers manually if you need them.
- Click Save.
Note: Typing a last name in the Display Name field will not find the contact. There is no way to import contacts in bulk, and you cannot create a contact from an entry in the call log. Contacts added here do not appear in Jabber — Jabber contacts are created inside the Jabber application.
Once your list gets long, use the search box to find a contact by a few letters or a full first or last name.
Set your Phone Services PIN first
Before you can open your Personal Directory on the desk phone, you need a Phone Services PIN. Go to the General Settings tab and enter a PIN under Phone Services PIN. You may use the same PIN as your voice mailbox, but be aware these are two separate settings — changing one does not change the other.
Open your Personal Directory on the desk phone
- Press the Directory button on your phone.
- Use the navigation wheel to highlight Personal Directory, then press the center of the wheel to select it.
- In the User ID field, enter your CWID using the keypad. Letters and digits share keys, so press a key until the character you want appears, then wait a moment before entering the next one. To fix a mistake, press the softkey below the backspace symbol.
- Press the bottom of the navigation wheel to move to the PIN field, then enter your Phone Services PIN. PIN entry is straight numeric — one press per digit.
- Press the softkey below Submit.
You may be prompted to sign in again later after a phone system reboot or upgrade. This is normal.
Call someone from your Personal Directory
- With Personal Address Book highlighted, press the center of the navigation wheel.
- On the search screen, press the softkey below Submit to see your full list.
- Use the wheel to select the person, then press the softkey below Select.
- Select which of their numbers to use, then press the softkey below Dial.
Personal Fast Dials
Your Personal Directory also offers Personal Fast Dials. These are similar to, but not the same as, the speed dial numbers described above — speed dials are configured in the Self Care Portal and dialed from the main phone screen, while Personal Fast Dials live inside the Personal Directory. If you need to use them, submit an ETS Request for Help and ETS can walk you through the setup.
Log out of the Personal Directory
Highlight Log Out, press Select, then OK, then press Exit until you are back at the main screen.
Call forwarding from the portal
- Go to Phones → Call Forwarding.
- Check the box next to Forward all calls to: to forward every call, under all conditions, to voicemail or to a number you enter.
- For more specific rules, leave that box unchecked and click the arrow next to Advanced calling rules to reveal the individual conditions.
- If you enter a phone number, it must be preceded by 91 — for example, 916501234567.
- Click Save.
You can also forward from the phone itself or from Jabber. See Using Your Desk Phone for the desk phone method and the important note about the reversed Forward All / Forward off label.
Ring settings and voicemail notification
Ring settings
Under Phone Settings → Ring Settings you can set how the phone rings in two situations: when you are on a call and when you are not. Click Save. Your desk phone may briefly display Phone is registering while it picks up the change — that is normal.
Voicemail notification
Under Phone Settings → Voicemail Notification Settings you choose how you are alerted to a new message:
- Message waiting light — the vertical red light on the handset.
- Display screen prompt — a voicemail icon appears on the phone screen.
- Stutter tone — played if a voicemail arrives while you are on another call.
Call history
Under Phone Settings → Call History you can turn call logging on or off for each phone or number assigned to you.
On the phone itself, the missed call count shows how many calls you have missed since you last looked at the list. Press the softkey below ABC to toggle between alphabetical and numeric search, and press the softkey below All calls to see answered calls as well as missed ones. Highlight an entry and press the softkey below Call to dial it back.
Do Not Disturb from the portal
Go to the IM and Availability tab, check the Do Not Disturb box, and click Save.
Settings you can ignore
- Services — not available at FHDA.
- Status Policy (calendar integration) — the connection between the phone system and district Exchange/Outlook calendars was not purchased. Ignore this setting.
- Conference Now — not active. The district uses Zoom for conferencing.
- Language — set by the administrator.
- Client/Portal Password — not used. You sign in with your MyPortal ID and password.
- Display Name — cannot be changed here. See Phone Service Requests if the name on your phone is wrong.
