1. Welcome & Introductions
2. Review and Approval of the May 20, 2026 Minutes
  • Minutes from the 05/20/26 ETAC meeting will stand approved as posted.
3. Review of ETS Board Policies & Administrative Procedures

The committee reviewed two board policies related to technology: the computer and network use policy and the electronic information security policy, which were being updated as part of regular operational procedures.

The committee reviewed the updates to the board policy and administrative procedures, particularly regarding computer and network use. Justin explained that the documents went through multiple review cycles, including feedback from Chancellor's Advisory Council (CAC) and college technology committees, with plans to incorporate recent AI-related language updates over the summer before final review in fall.

  • The formatting system was used to track changes, with strike-through text indicating removals and bold underline showing additions and clarified that the yellow highlighted areas reflect recent modifications made after Faculty Association feedback at CAC's second reading.
  • The committee approved moving both board policies forward to the next stage, with Jory requesting communication to constituency groups about the approval of the updated board policies and administrative procedures, encouraging review and feedback before CAC review in the fall.

4. New Districtwide Technology Committee Structure

Jory presented a proposal to streamline technology governance committees by consolidating several existing groups into three main committees:

  • Information Technology Prioritization Committee (Monthly)
  • Instructional & Academic Technologies Committee (Monthly)
  • ETAC (Technology Innovation) Meeting (Bi-Monthly)

The proposed model aims to create better alignment between college technology committees and district-wide governance, with plans to update the district strategic plan in the fall to align with college technology plans.

  • The proposed technology committee restructuring slide deck should be shared with meeting attendees and relevant groups (including college technology committees and Academic Senate) for review and feedback.
  • Follow-up meetings may be scheduled in the fall to further discuss and socialize the proposed technology committee restructuring, including possible transitional scheduling.
  • A suggestion was made that the IT Prioritization Committee meet twice a month rather than monthly based on experience from the De Anza campus meetings.

5. Reimagine CCCApply CCCStart Introduction

The Reimagine CCC Apply project introduction was presented by Joe Moreau from Higher Digital. The project aims to transform the admissions process into a more welcoming and inclusive platform called CCCStart.org, featuring mobile-friendly design, simplified questions based on student journey type, and improved fraud detection. The project is set to launch with Wave 1 districts this summer, with full implementation across all 73 districts planned by June 30, 2027.

The team discussed plans to share the presentation with college tech committees and Academic Senate for feedback, though both groups won't meet again this academic year.

6. College Committee & Innovation Report Outs
  • This agenda item was not covered due to time.

7. Adjournment
