 Sunapsis Project Meeting Minutes

January 26, 2016 2:00-3:00 p.m.

Attendees:    Lee McDonald remotely; Sherri Mines, Joseph Ng, Mahmood Hasan, Jim Clow, Katia Rostam Yazdi, Linda Koyama

  1. Project Status
      1. Update from Lee:
          1. Common matching problem for multiple name students has been resolved.  If there are more than two words in a first name or a last name, it will go into suspense.
          2. There was a loading problem that Lee has resolved.
          3. Lee will provide a spreadsheet of elements that are required for the CCCApply clone application in a spreadsheet (Term, student type, program of study).  Sherri and Joseph will add additional fields (ethnicity, highest level of study, etc).
      2. Sunapsis output file format
          1. You can save a report format.  When you choose the fields that will go into the report, you choose it by table.
          2. Core biographical data is always the first table.
          3. The order in which you choose the tables determinies the fixed order of the data.
          4. If there is no value, it will be a blank.
          5. It will be in a CSV format.
          6. The admissions report (the CSV file that will be converted to a CCCApply clone application) will be manually generated.
      3. Future consideration
          1. Capability for users to make term changes:  For now, Katia will make the updates.
          2. Once the students are admitted, there will be another set of eforms (where to send the admission packet, orientation, etc).
          3. Payment:  Currently the credit card form will be uploaded to Sunapsis, printed  and then submitted to the cashier office.  They are hoping for an automated system in the future.
      4. Take away items:
          1. Sherri and Joseph will review the records in suspense and will add more intake records for testing.
          2. Lee will send the spreadsheet of required fields today.
          3. Sherri will add additional required fields to this list.
          4. Sherri will provide a sample output file from Sunapsis by Monday for Lee.
          5. We're hoping to be able to test the load from Sunapsis to Banner by the end of February.
          6. Sherri will add addressses containing commas into Sunapsis to see what the report will look like.
          7. Sevis is releasing a fix between Feb 1st-15th along with a Sunapsis update.  We will need to schedule the upgrade when available.
          8. Sherri will continue to work on the eForms; currently working on the educational page.
          9. Joseph can review the eforms at Sunapsisdev.fhda.edu.
          10. Once testing is completed, we will ask Lee to move his code and forms to production.
          11. Sherri will provide a web address for the help page when the Foothill webmaster creates it.
          12. Sherri will give a demo from the student side at the next meeting.
