 De Anza OU Migration Project Meeting Minutes

August 16, 2016 10-11 am

Attendees: Alex Harrell and Micah Roark remotely; Larry Ching, Chien Shih, Mahmood Hasan, Bill Baldwin, Norbert Debler, Chris Dubeau, Linda Koyama 

  1. Non-person account status
      1. Currently used for testing and for student senate members (not district employees) and temps.  Less than 10 accounts total needed.  Bill reported that it is very easy to create the accounts.  Larry will send Bill an email with the requirements.
  2. VPN access
      1. Timeline for DA testing approaching rapidly.  Still considering SOHA but as a temporarily solution, similar to accessing MyPortal from home, it will be behind a load balancer.  Will require 1/2 hour downtime to the production enterprise site to make the change.  Norbert will make the change tomorrow. The user's experience should be exactly the same as their on campus experience.  Larry will test it after the switch is made.  ETS will do the initial certification and then Hasan will contact Larry when it is okay to test.  It remains to be decided whether to ultimately go with SOHA.
  3. Insight Results
      1. Micah will touch base with Michael regarding the results of the De Anza Insight scan.  We were able to see the demo but did not receive any reports or links to review.
      2. FHDA would like to set up a small scale pilot for De Anza to incorporate Insight in the Enterprise site.
      3. De Anza received a quote of $20,000/year for Insight.  De Anza will need to assess the affordability.
  4. SSO, changing user names are ready according to Chris.  According to Larry, after cleaning up the non-person accounts, all the accounts should have an fhda email.  
  5. Many pages had version 9 log ins.  They developed a perl script to change them to a version 10 log in.  They will need to run the script again after the migration.
  6. Testing
      1. Migration content:   According to Larry, everything looks good.  Sept. 7th & 8th will be the target date for migration; will work for ETS and Micah.  SaaS will be shutdown, unless there is a problem.
      2. Chris will finish converting all the accounts by the end of the week for SSO.  Larry and Alex will ask as many to test by the end of the month.
      3. Remote access:  By the end of the month, ETS will validate remote access is working.
      4. Non-person accounts:  By the end of the month,  all non-person accounts will be set up and turned over to De Anza at the beginning of September.
      5. De Anza webteam will be responsible for new user instructions for logging in.
  7. Soft go live:  after Sept. 8th.
  8. Progress status for new design and if any ETS support needed:  Final review of visual mockups this week.  Late October, early November, De Anza will need help from OU for templating.  De Anza is interested in the pricing for OU search. 
  9. After Sept. 9th, Hasan reminded Micah that we still need help to set up the test platform.
