 De Anza OU Migration Project Meeting Minutes

June 14, 2016 10-11 am

Attendees: Michael Monina, Micah Roark and Alex Harrell remotely;  Larry Ching, Chien Shih, Chris Dubeau, Linda Koyama 

  1. SSO
      1. Chris reported that it is now working.  
      2. Micah is working on renaming individual groups.   The corresponding group of one, containing the user only will need to be renamed to match the user's CWID as well.  Micah will send Chris an update later today.
  2. Testing with De Anza faculty
      1. Larry has gathered volunteers (staff) to test and has heard back from one staff member, reporting that everything looked the same as pre-migrated data.  He will follow up with the other users.
      2. Larry is waiting to hear back from Ryan regarding setting up Microsoft VPN for test faculty members.  Larry will provide the CWIDs for 9 faculty who are willing to test.  Larry will touch base with Ryan after the meeting.
      3. Focus right now is not the VPN access but the integrity of the data, the conversion of the groups and the migration of the permissions.
  3. Update on new VPN
      1. Chien is in communication with the network group and they are aware that the deadline to provide the Cisco Network VPN is sometime in August for roughly 250 users (roughly 200 faculty + staff).  Chien believes that the users will only need to enter CWID and password to authenticate one timeto access the Network VPN client using the user' .
      2. There was discussion about moving the application server to the open network.  Security-wise, it was not recommended.  
      3. In case the network VPN does not happen in time, plan B will be to expand the capability of the Microsoft VPN.
      4. Alex is concerned that if we initially move to Microsoft VPN and then move to Network VPN, it will be cumbersome and confusing to the users, requiring multiple trainings.  We will invite the network team to our next meeting to give us an update on the Network VPN.  We will need more information on how the network VPN will work; Chien believes that to access the Network VPN, the user would enter his/her CWID and MyPortal password one time to authenticate and  access OU Campus.  Alex would like to avoid moving to Microsoft VPN if possible.
  4. Takeaway
      1. Chien will touch base with the network group and invite them to our next meeting.  
      2. De Anza will continue to test.
      3. We need to document everything that was done to prepare for the final migration.
      4. Larry is requesting an update regarding the role based accounts not tied to a CWID (i.e. intern, currently 5 or 6).  Can these roles be created in Banner?  Chien will investigate.
      5. Chien is requesting more info regarding Insight.  Will be released possibly end of this month or in July.  Michael will follow up on the  the De Anza site scan and will let us know when it will be completed.  We will probably need another demo for the colleges' upper management.  Ou Insight will run on any site whether or not it is managed by OU Campus.  Once the product is released, Chien will forward our requirements to OU.
