 De Anza OU Migration Project Meeting Minutes

May 3, 2016 10-11 am

Attendees:   Michael Monina and Micah Roark remotely; Larry Ching, Chien Shih, Mahmood Hasan, Chris Dubeau, Katia Rostam-Yazdi, Linda Koyama  

  1. Transporter status update:   
      1. Plan is still on for the data migration to take place Friday, 5/6/16, 8 am - noon.
      2. Multiple tests have been performed; all expectations is that it will run smoothly.
      3. Hasan has verified with the network group that access to our system is okay.
      4. OU will update the ticket when the De Anza SaaS account will be available again for the users.  
      5. OU will take care of the locking and unlocking the availability for the website.
      6. Progress will be updated via the ticket, cc Chris and Larry.  
      7. De Anza web team will do a spot check and valiidate that the data came over correctly.  
      8. The accounts and log ins will be replicated.  Chris will send the target website info to publish the test account to.  
  2. Next step post migration:
      1. Once the migration data has been validated, Chris and Vinit will start working on SSO and username updates.
      2. De Anza Web Team and Chris will work on the content that is not in OU.
      3. Another migration will need to be scheduled when we are ready to switch over from SaaS to ESL.
  3. OU Insight
      1. Both colleges are interested.
      2. Trial run will be done on the deanza.edu website.  Michael will follow up.
      3. Once he has an estimate for the number of files for both colleges and district, Michael will give Chien a quote.
      4. Michael will find out if the insight report is exportable to a CSV file.
      5. Distributing the findings to the individual users might be a challenge.
  4. Joe has tasked the Disability Center at De Anza to scan the website using a state sponsored tool that can help evaluate our websites.
  5. Take away items
      1. Ou will test their VPN access on Thursday.
      2. De Anza's webteam will notify the users of the upcoming shutdown.
      3. A proof of concept trial run will be run on deanza.edu.   Michael will follow up with the run and sample report.
      4. Michael will provide pricing info once the trial run is done for De Anza. 
      5. Micah will open a ticket regarding the expired SSL app certificate August 2015.  Norbert Debler is in charge of that server.
