De Anza OU Migration Project Meeting Minutes

Attendees: Michael Monina, Micah Roark, Alex Harrell and Larry Ching, remotely; Chien Shih, Mahmood Hasan, Chris Dubeau, Katia Rostam-Yazdi, Deepa Prasad, Linda Koyama
- Upgrade and Transporter status update
- Upgrade 10.4: February 11th, Thursday, is the soft target SaaS deployment date. The ESL update will can be scheduled a couple of days later (middle of February).
- No ETA for the transporter update. Changes to the data structures have impacted the transporter update. Chien reiterated that we can offer support resources to help with testing but since we don't know what the problems are, we cannot help. Micah informed us that they have never used the transporter with POSTGRES as a source and with the changes with the data structure, the transporter needs to be updated. Once the data structure is finalized, it will no longer be a "moving target" and Micah anticipates the transporter to be released soon after.
- Timeline for the best case scenario:
- 10.4 will be available for the ESL update by middle of February
- The transporter will be ready end of February
- The data will be migrated beginning of March
- Testing begins at the end of March
- Real migration April or May; target completion: Summer quarter.
- Manual Alternative: Michael believes that using the transporter will be much more efficient and would not recommend the alternative.
- Michael was wondering if we instead focused on Foothill's move to OU and other aspects of the project such as SSO and keep De Anza on SaaS for the time being until the transporter is available.

- $25,000 annual cost for De Anza for the SaaS server needs and maintenance has been waived by OU.
- De Anza is in favor of waiting for the transporter tool. They are concerned about the timing with their redesign, putting up new templates and using features that are available on the ESL server that they currently do not have on SaaS, switching users to single sign on, and worrying about things breaking and changing, and duplication of effort.
- FHDA is anxious to have the infrastructure work completed as quickly as possible so the redesign effort can move forward. De Anza is hoping to do the template integration this summer.
- Chris provided the file of accounts and Micah has sent back a request for additional fields.
- There will be a PG & E shutdown for the De Anza campus on Feb. 12th, with some areas supplied with generators. The down time is estimated to be from 5:30 pm to early Saturday morning to physically move the servers from one side of the building to the other.

- FHDA is looking for firm dates for the 10.4 upgrade and transporter fix.
- FHDA will install the upgrade as soon as possible, hopefully the week of the 15th, scheduling with OU.
