Purchasing Website Project Team Meeting Minutes
December 16, 2014 1-2 p.m.

A. Discussion Topics
- Question from John: Should we download forms into OU or link to external sites?
If it is a form that purchasing maintains, it should be in the downloads folder withing
the purchasing site. If we are linking to an outside URL, best practice is to go
to that url and copy and paste it. Any object within Omniupdate should have the dependency
tag assigned to it. We suggest that John check all the links.
- Pam asked if there was a style guide across the district websites: Are there any
standards? There is no guide at this time. (i.e. "District" is commonly capitalized,
for slider topics each word is capitalized). We will bring it up at the larger meeting.
- Icons are available in the tile-icons folder. Once you've decided, let ETS know and
we will change the color from black to white.
- They may want to rename the flowcharts tile to something more descriptive like "process flow". It may be merged with the "how do I" tile.
- Phase II ideas after we go live:
- The surplus slider may end up with sub-category tiles (i.e surplus available, surplus disposal, request pick-up), getting rid of the repetitive tiles or keep the common tiles and add a left nav,
- Flow chart items may end up being a part of another tile or slider. Org chart can
be a part of who we are.
- Deepa explained how to control what appears in the left nav.
- If it is decided that purchasing wants to change a page from full-width to a page with left navigation, let ETS know. If you need additional tiles, let ETS know. We can train you to do it on your own at a future date.
Take away items:
- They will plan to meet on Monday, December 22, 2014 to finalize their selection of
icons and sliders and forward them to ETS.
- The goal is to finalize content by the end of the year and will wait for the okay
from Pam. Pam will be at a conference January 5th-9th so if we do not hear from her
then we will start the migration on January 12th and all modifications will need to
stop by the 9th.
- They would like ETS to add the map. The purchasing icon is not in the correct spot. It needs to be corrected and placed to the right of the contact info. It is important that the location is correct because when they have bid openings, the contractors need to be in their building at a specific time.
- Since the purchasing deadlines are no longer relevant, John will create a new page stating that the 2014-2015 deadlines will be announced in February.
