Purchasing Website Project Team Meeting Minutes

December 4, 2014 9:30-10:30 a.m.

 

 Attendees: Pam Grey, John Pham, Linda Mahi, Chien Shih, Deepa Prasad, Linda Koyama

A. Reviewed progress from last week

  1. Slider content
    1. Would like to replace the content of the "contact us" slider with the "contact us" tile content and remove the "contact us" tile from every page.
    2. They would like to know if the slider image could be a pdf.  Will ask Matt.
    3. After the images are purchased, they should be sent to Katia.
  2. Tiles
    1. Forms-in the process of updating the content but can go live as is.
    2. Policies, Laws, & Procedures-Will  add a form that is available on the forms tile.
    3. Smart Shopping-John was having difficulty adding rows to the table.  We will address it after the meeting.  Pam would like links to the vendor sites added.
    4. Flowcharts-Linda has uploaded a new org chart and would like to know how to link it.  We will show her after the meeting.
    5. New Purchasing Deadlines-Will be updated.
    6. Create a purchase requistion-Received a pdf from Annette; working on simplifying the steps.
    7. HR used iconfinder.com to purchase their icons.

B.  Other Topics

  1. Consistency throughout the district websites
    1. Should "contact us" be used for each department with the same icon?  "Policies and Procedures"?  Will be brought up in the large Project Meeting today.
  2. Pam has found that dedicating a small group to review  and one or two doing the editing the content is working well.  Chien is asking Pam to share her experience so far at the larger team meeting today.

  3. Shared the mock-up for the district landing page. 

  4. Pam and John will be at a conference the first week in January.  ETS will need three days minimum prior to the go live date of January 15th to freeze the content and make the necessary changes to go live.
