Facilities Website Project Team Meeting Minutes

March 19, 2015 10:30-11:30 a.m.

 

 Attendees:   Susan Boraston,  Chien Shih,  Deepa Prasad, Linda Koyama

  1. We showed Susan how to use the direct edit button that Katia added to the footer of each page (LAST UPDATED 3/13/15)   which allows users to log-in to OU and open up the page they were on directly in the WYSIWYG.

  2. Tiles:  
    1. Cell Phone Management:  Susan is waiting for someone from Verizon to return her call for the information on the cell phone management page.

    2. Energy Management:  The Sustainability Program link will be changed to 2007 Sustainability Program and the Sustainability Website will be removed from the page.  The information is very old and needs to be reviewed and updated.  Linda will link the De Anza Energy Use and Foothill Energy Use.

    3. Work Orders/Service Requests-On-line-Work Order System page:  For the tiles, "log in" will be removed.  Linda will add a multiple people icon for existing users, a computer icon for the facilities staff, and tools for technican for Susan to review.  ETS is requesting Facilities to test each login.    The work order system is maintained by Tamis Systems.  If Facilities would like to redesign the work order system webpages,  and remove the links in the left nav, they will need to work with Tamis to redesign the pages.  This was also true for HR with the Taleo system.    ETS recommends that they work with Tamis after they go live to have them redesign the page to look like their new pages.

    4. Contact Us:  Susan will touch base with Jennifer regarding the Hours of Operations for the Facilities Offices.  Linda will link Steve Kitchen's email with a mailto link.

    5. Facilities Master Plan:  Susan would like us to find a different map icon.  Icons need to be chosen for the district office building EIR, Foothill EIR and De Anza EIR.

    6. Employee Forms:  The links will be changed to tiles.

    7. Facilities Documents:  The De Anza College Boundary needs to be linked.
  3. Slider progress:  The slider images have been chosen.  ETS will purchase them and apply them to the slider.  Jennifer needs to approve the Measure C Bond icon.

  4. Susan is working on the process for ordering new keys.  Most likely it will become another tile.

  5. Target:  Goal is to complete edits by Tuesday.  Susan will have an internal review  with the Facilities department on Wednesday morning.  At our weekly Thursday meeting, we will have a final sign off and will start the migration on Friday, March 27th.
