Chancellor's Office Website Project Team Meeting Minutes

January 13, 2015 1-2 p.m.

 

 Attendees:  Becky Bartindale, Paula Norsell, Chien Shih, Matt Rapczynski, Katia Rostam-Yazdi, Deepa Prasad, Linda Koyama

  1.  Current Status
    1.  Chien introduced the members of the Chancellor's Office Website Implementation Team
    2.  Of the 7 district departments, 4 have successfully migrated to Omniupdate (OU).
    3. What has worked in the past: The implementation team will make the design decisions and will bring back the prototype for the Chancellor's cabinet to review and approve or suggest changes.
    4. Deepa and Linda will take care of training; Matt and Katia will be our technical support.
  2. Things to Keep in Mind
    1. ETS needs a minimum of three days to move the test instance to production.
    2. Unique scope requirement for the Chancellor's Office Team: Decide on the header and footer layout which will be applied to all departments. Intermediate linked pages from the header will need to be designed by this team as well.
    3. Try to keep to a maximum of three clicks.
    4.  The site does not need to be 100% perfect to go live; it will be a work-in-progress; modifiable after you go live.
    5.  It is easier and faster to modify existing pages instead of starting from scratch.
    6.  Think about your audience. Group your information to make it easy to access what they may be searching for.
    7.  You don't need to go through all your existing pages; just link to pages that are currently relevant.
  3.  Next Step
    1. Weekly project team meetings will be scheduled to review progress and provide time to ask questions. Becky and Paula will send Linda their availability.
    2. Training will be scheduled.
    3.  It was decided that all the Manila fhda.edu pages will be migrated to OU. Obsolete pages do not need to be linked or deleted prior to going live.
    4. No clean in Manila is necessary at this time. Everything will be moved to OU.
    5. We need to start thinking about the layout of the pages that are linked from your slider topics, tiles, and header links. Do you want to have left navigation links? Tables? Lists of links on the main page? More tiles?
    6.  Finalize slider and tile images.
