 District Website Conversion Project Team Meeting Minutes
February, 2015 1-2 p.m.

Attendees:  Becky Bartindale, Paula Norsell,  Martin Varela, Carla Maitland, Marty Kahn, Linda Mahi, Natalie Petermann, John Pham, Pam Eberhardt,  David Ulate,  Chien Shih, Deepa Prasad, Linda Koyama

  1. News and Issues
    1. Omniupdate Conference next week, March 1-5, 2015 in Newport Beach.  We have the largest contingency (11) from any college!
    2. District/Chancellor Office Website went live Feb. 13th!  Chien has received a lot of positive feedback, especially regarding the chancellor search profile.
    3. Facilities kick off took place on Feb. 19, 2015; training scheduled this week. (Showed mock-up).
      1. Pam suggested to use the facilities announcements for things like power outages.
      2. Marty suggested to possibly use an RSS feed to send announcements.
  2. Future Team Meeting:  March 25, 2015-possible last meeting.  We can decide at this meeting whether to cancel the scheduled April 29th team meeting.  Hopefully we can review the Facilities Website at this March meeting.
  3. Lessons Learned
    1. Advice to Foothill:  (Foothill currently using a totally different platform and plan to move to Omniupdate. They plan to work with a design consultant.)
      1. The role of ETS will be to help build space for them.
      2. Designing the templates is a balance between asking people to use a specific look and feel for their page for consistency versus having creative control over the design. 
      3. For the district sites, we had a few templates (page with left nav, full-width page, page with tiles, standard fonts) for uniformity and sustainability.
      4. First they would need to come up with their design; next Omniupdate would need to use this design to create templates.  Lastly the content must be built, using these templates.
      5. It is important that they hire a design consultant who is familiar with Omniupdate.  (Lesson learned from Foundation).  Omniupdate can recommend design consultants that they have worked with.
      6. From a user perspective, Paula thought  it would have been helpful from the very beginning to know what the physical process would be, what the templates looked like,  what the converted Manila pages looked like, and to know how to organize pages.  
    2. De Anza:  Currently using Omniupdate; however, they will need to migrate from an Omniupdate hosted SAS site to a local site.  Omni will be responsible for migrating the content, transparent to the users.
  4. Next training planned:  How to use Google Analytics
    1. Will be scheduled after Facilities goes live
    2. Will require a user account
    3. Can follow the traffic to your site
    4. Will include Google Search
  5. Celebration when project is completed
    1. Chien is looking for donations for our celebration!
    2. Will include everyone who has worked on this project (30-35)
    3. Would like to recognize a few "MVPs".
