 District Website Conversion Project Team Meeting Minutes
December 4, 2014 1-2 p.m.

Attendees:  Becky Bartindale, Paula Norsell, Hector Quinonez, Martin Varela, Carla Maitland, Pam Grey, Linda Mahi, John Pham, Pam Eberhardt, Chien Shih, Matt Rapczynski, Chris Dubeau, Deepa Prasad, Katia Rostam Yazdi, Linda Koyama

  1. Progress report since last meeting:  
    1. HR website went live on 12/2/14.  
    2. Purchasing team kick-off occurred on 12/4/14.  On schedule.
    3. Focus for each department
      1. HR was position oriented and designed their tiles accordingly
      2. ETS was function oriented, based on typical calls we receive from the Call Center
      3. Purchasing is process oriented, deadlines, forms needed
  2. Comments from Pam Grey from Purchasing
    1. Important to know who your audience is
    2. Chose to focus the slider topics for our external customers and tiles for internal users
    3. Pam and Linda M. have been working on updating content, meeting weekly, getting rid of the old info and updating new info on Manila for about six months.
    4. Keep in mind that it doesn't have to be 100% when you go live; you can constantly tweek it.  Just make sure that everything that is needed is available when you go live.
    5. Good advice from HR:  Have a small group (2 or 3) dedicated to working on it and tweeking it and then present to the larger group for comments.
  3. Commonalities across the different district websites
    1. It was suggested to use the same terminology and icon for common tiles such as "contact us" (possibly bottom right tile) and "policies and procedures".
    2. Matt and Becky are working on standards and guidelines for the district websites.
    3. Available icons will be  placed in a folder on OU for each department to peruse.  Icons can also be purchased as well.
    4. Once everyone goes live, we can reconvene to touch base about making any more minor changes across the board.
  4. Review of the district landing page mock-up
    1. Slightly different look and feel than the other departments; more distinctive and more in line with foundation
    2. Focuses on helping users get to the information more easily
    3. Header more functional, more inviting
    4. Colleges are much more prominent
    5. Department links are available in the footer
    6. Becky will send draft of design Hector to possibly change the wording of the business links
