 District Website Conversion Project Team Meeting Minutes
January 28, 2015 1-2 p.m.

Attendees:  Becky Bartindale, Paula Norsell, Lester Lyons, Esperanza Contreras, Susan Boraston, Hector Quinonez,  Scott McDaniel, Pam Grey, Linda Mahi, John Pham, Pam Eberhardt, Joe Moreau, David Ulate, Kelly Pettit, Chien Shih, Deepa Prasad, Katia Rostam Yazdi, Linda Koyama

  1. Progress report since last meeting:  
    1. Purchasing:  Went live ahead of schedule.  Still working on some content updates.  They are interested in Google analytics results.   ETS can send a report to purchasing for heat signatures and current traffic.   
    2. Business:  Targeting to finish content updates by 1/30/15 and hoping to go live ahead of schedule (Original Go Live Date:  Feb. 18th).
    3. Next group:  Chancellor's office and district landing page.  Training has been completed.  
      1. District test landing page:  fhdatest.fhda.edu
  2. There was much discussion regarding the intermediate page tile design linked from the header.  (Guiding visitors to where they want to go)
    1. Choice one:  Smaller tiles, using multiple colors, and  no icons.  Joe cautioned that the varying colors may pose an accessibility problem.  Chien will send the links to Jamie Johnson from OEI to review both choices from an accessibility standpoint.  Paula and Becky would prefer larger, bolder font in the middle of the tile.  Joe also suggested to use color to convey meaning:  Possibly using tiles that link to HR for example, use the HR marquee color.  
    2. Choice two:  Same tile size as other sites with icons and a gradiant, monochrome color palette of one shade.  
    3. The accelerated go live date requested by the chancellor is Feb 17th.  Becky would like us to keep in mind that not only should the technical options be considered but to also keep in mind the "look and feel" of the website since what we go with now will probably be around for a long time.
    4. There was some discussion about possibly using logos, but it was decided that not every department had a logo so it was decided not to move forward in that direction.
  3. Introduction of the members of the Facilities Website Team in attendance: 
    1. The current website color is a light brown color that can be changed.
    2. The test website can be found at:  facilitiestest.fhda.edu  (Please review).
    3. The team can start to think about:
      1. Who is your audience and what will info will they be looking for?
      2. How do you want to group your information?  What makes the most sense?  Slider topics?  Tile topics?
      3. What inquiries are you receiving on a regular basis?
      4. Kelly Pettit is available for advice and to share her experience.
  4. Header and Footer discussion
    1. Joe questioned whether we need the district, Foothill College, De Anza College and Foundation links at the top of the header when one is at the district web page because it is repeated in their slider.
    2. The header and footer will be repeated on all the webpages for every department.  District webpages can be reached from the footer and on the district home page tile.
    3. The top links in the header are for the public to find where they want to go and the bottom links use the terms that we are more familiar with regarding the various departments.
  5. Next step:
    1. Chien will ask Jamie Johnson for feedback from the an  accessibility standpoint about the use of multi-colors, grouping like colors together for the tiles,  what department colors would be best to use, and our department pages that have gone live.
    2. We will schedule another meeting next week.
    3. The ordering of the tiles still need to be worked on.
