Clockwork Project Meeting Minutes

March 25, 2015 10-11 a.m.

Participants :  Mary Baddam  (by phone); Teresa Ong, San Lu,  Mahmood Hasan, Jim Clow, Erwin Widiarta,  Katia Rostam Yazdi, Linda Koyama 

1. FH DRC homepage has been updated but still need to update the website itself.  
   
   
2. One instructor clicked Clockwork and came up with De Anza instead of Foothill.  Teresa is waiting for screenshots from the instructor.
   
   
3. Licenses:  PO was signed and check has been cut.  Mary will check if they received it on their end.  FH now has 25 and De Anza now has 11 more.  Once the PO has been verified, Mary will push the new license keys on her end.  Payment for last week's FH training should be on its way.
   
   
4. Test server:   Will clone the database March 30th on Yosemite after all configurations have been finalized (no more changes).  Once the test system is available, Mary will send the URLs.  
   
   
5. Mary went over the procedure to open up all the Faculty e-mails and take it out of test mode.
   
   
6. Teresa will put together a template to generate a report for audits.  Mary needs to know what fields and the layout of the fields, along with the letterhead so she can build it.  Not critical for go live. 
   
   
7. Historical data has been loaded.  Clean up has been completed.
   
   
8. After April 1st, support tickets should be entered on clockworks.ca/support.
   
   
9. Teresa is asking for April 8th and 15th meetings for post go live.  Will cancel April 1st's meeting.  On April 1st the terms will need to be changed.  
   
   
10. Jim will ask De Anza to send Mary an e-mail to confirm their plans.  Mary will need to delete their data one more time.
