 BOG Fee Waiver Project Meeting Minutes

June 12, 2015 10:00-11:00 a.m. 

Participants :  Lee McDonald remotely, Chien Shih, Mahmood Hasan, Jim Clow, Ryan Anthony, Linda Koyama

  1. Lee is in contact with Rupinder from Ventura College.
  2. Lee explained that implementing the BOG Fee Waiver is very similar  to implementing Open CCCApply.  
    1. We need to download applications.  
    2. Move them over to  the database server
    3. Create a CRON job that will load into a table.
    4. Create a CRON job that contains a banner process that will determine eligibility for students that were loaded into Banner (CALB Banner job that Ellucian supports.)  Lee is investigating whether this process can be triggered as well.
    5. There will be separate jobs for De Anza and Foothill.
    6. A form will need to be created to view records that are in suspense.
  3. Goal is to have it ready for testing by June 30th.  Will work to get it done as soon as possible.  Lee will be moving in two weeks; hoping to be ready for testing by then. 
  4. ETS hopes to have PRODN available by next week.
  5. Lee will touch base with Patty of the Tech Center to verify if a new directory for the format and job file  or a new folder needs to be created for the downloading of applications.  
  6. June 30th deliverables:  
    1. Lee:  Download test bog fee waiver applications into the OpenCCCApply testing directory or new directory
    2. Lee:  We can assume for now to upload to Banner once/day.  De Anza:  Mondays and Wednesdays and Foothill:  Tuesdays and Thursdays.
    3. Jim:  Will document the work flow to share with the users a week from Monday (6/22/15)
  7. Lee has already sent a sample single format file, and two job files, one for De Anza and one for Foothill.  It uses the same transfer client and same java file.
  8. Lee would like us to start entering test BOG applications so that he can test his load process and form for viewing them (Lee has a form he is creating and also a sample from Rupinder which he will be merging) which he is working on locally right  now.  It will be on the BANINST1 instance like CCCApply.  

  9. Jim has requested that Lee send him any separate functions that he is creating similar to CCCApply so he'll know what to transfer to PROD.  Lee is hoping not to have to write very many functions.
  10. Take away items:
    1. By June 22nd  Jim will have a Prototype demo for the users including a flow chart, screen shots, data flow.
    2. With Ryan's help, Lee will move the data from Lee's environment to ETS' environment, test the download and batch upload into Banner, by Wednesday, June 17th.
    3. Lee will send the forms for Hasan to compile.
    4. Jim will talk to Kevin and Lisa to add test students.
    5. Lee will create a couple of BOG apps for students who are not in our system.
    6. Hasan is requesting that Lee notify Jim, Ryan, Hasan, Vicki and Linda before he uploads anything into the database.
    7. Linda will set up a conference call next Friday, 6/19, with Lee to touch base and a meeting with the users on Monday, 6/22.
