 De Anza OU Migration Project Meeting Minutes

Attendees: Michael Monina, Rich Paul and Micah Roark remotely; Mahmood Hasan, Alex Harrell, Larry Ching, Linda Koyama 

  1. Rich Paul provided an Insight demo (released last week) for the results of the scan of the De Anza production website which included:
      1. Overall site score, as well as scores for:
          1.  Search Engine Optimization (SEO)
              1. Titles:  Not too long (no more than 70 characters) or too short, missing, duplicates
              2. Descriptions
              3. Headings:  Should be in proper order
          2. Accessibility:  Same guideline that is set up in OU Campus.  Known problems, potential problems.
          3. Links:  Broken links, timeouts
          4. Spelling:  Integrates with the OU dictionary
      2. Can share the report link.
      3. Enabled per account. Can configure the run frequency.
      4. If it is a page managed by OU Campus, you would see when it was last published, what version it is on, who last saved and published it and a direct edit link to jump to that page.
      5. Rich will bring FHDA's feedback to the dev team.
  2. Insight pricing is setup by site.  Can have multiple sites that are activated.  One time cost for setup is $3,000 for up to 10 sites. Then it is based on the number of files that are being scanned.  De Anza has approximately 4,600 files which would cost $5,000/year.  If we include Foothill and the District, we may be in the 10,000 file range which would cost $7,500/year.  Unlimited files is $20,000/year.  $10,000, $15,000 level as well.   We will let Michael know if we need a proposal.  20% discount if bought before Aug. 31st.  It is a module available in the OU Marketplace.  We can have it turned on within a week.

  3. Migration Update
      1. Micah reported that the last thing Chris was working on was the testing the renaming of the groups for CAS in the test instance.  He did not hear back if it was successful.  Hasan will  follow up with Chris.
      2. After the renaming of the group of ones, the De Anza users reported that everything went fine, all the permissions were preserved.
      3. Some users are using their personal email addresses instead of the district email.  The De Anza Web Team will convert them.
      4. Once the VPN is resolved, we will look to set a date for the migration.

  4. Redesign of De Anza's site
      1. The front end should be finished mid to late October.
      2. Alex wanted to know how much time OU will need to create the templates.  Michael needs to know as soon as possible when the design files will be available so that he can schedule their resources.  There are two types of projects, a redesign where OU is just creating templates or a re-theme where they are actually migrating content from the former look and feel to the new design.  OU needs to know as much as possible regarding the scope of the project.  Typically it requires a 100 hour project (may or may not include migration), $15-$20,000.  Depends on a number of variables, number of unique page layouts, whether it includes migration.  
      3. The target is for the end of October for the files to be ready, using bootstrap.  De Anza (and Foothill) is working with Visionpoint.  OU will be in touch with Visionpoint too.  The two schools are not sharing a common design; Foothill will be ready sooner.  OU can contact Bradley Creamer at Foothill, creamerbradley@fhda.edu.
