 De Anza OU Migration Project Meeting Minutes

February 16, 2016 10-11 am

Attendees:   Michael Monina, Micah Roark, Alex Harrell and Larry Ching, remotely;  Chien Shih, Mahmood Hasan, Chris Dubeau, Katia Rostam-Yazdi,  Linda Koyama 

  1. ADA Compliance issue:  Last week, Chien and Michael had a conversation regarding a claim by a Foothill student that the Foothill website is not ADA compliant and is threatening to sue the college.  Michael provided information regarding the OU platform and ADA compliance.  Chien wanted to remind both colleges to keep ADA compliance in mind during the design phase of their websites.

  2. Upgrade and Transporter status update
      1. Upgrade 10.4:  Will be released after the OU conference, target date March 10th for the SaaS deployment.  The ESL update will can be scheduled a couple of days later (around March 15th).   The transporter should follow shortly after that; we do not have an ETA for the transporter yet.
      2. Alex will report back to De Anza management that we will need to push our go live date to at least late June, early July.  This will be complicated by the fact that most faculty will be gone by the end of June.  
      3. We will also need to coordinate the migration with the redesign.  
  3. Redesign issues
      1. Michael stressed the importance of scheduling the OU project management team's time ASAP to convert the new designs to OU Campus versions of those designs (6-8 week project).  If they are migrating content, it may add an additional week or two.
      2. The SaaS system and the ESL system may have different levels of functionality (i.e. Live Delivery Platform, currently not being used at De Anza but will be used in the redesign).  As soon as Alex has firm dates regarding the redesign, he will notify OU.
      3. ETS can provide technical assistance or coordination.
      4. Foothill and De Anza are using the same design firm (VisionPoint) but are considered separate projects.  OU has multiple implementation teams and can work simultaneously with both colleges.  Foothill is farther along than De Anza and will be a much smaller website.
      5. Chien will send an email to Bradley and Alex and the college management to remind them to keep in mind the importance of ADA compliance.
  4. Setting up an OU test environment
      1. The purpose of the test environment to test upgrades before they go into production.
      2. Micah recommended to wait until the upgrade (10.4) is ready.
      3. ETS would need to install a VM.  Micah will send the server specficiations to Hasan.
