 De Anza OU Migration Project Meeting Minutes

November 10, 2015 10-11 am

Attendees:  Larry Ching, Michael Monina and Micah Roark remotely;  Chien Shih, Mahmood Hasan, Chris Dubeau, Katia Rostam-Yazdi, Deepa Prasad,  Linda Koyama

  1. 10.3.2.2 Upgrade was applied.  ETS  encountered a problem with form publishing after the upgrade.  It happened once before and OU rebooted the database to correct the problem.  OU is investigating.  Chris will add notes for future upgrades that a possible restart of the SQL database may be required by OU.

  2. Micah received confirmation that a secondary web server for the test account will be provided so that no one accidentally tries to run a publish from this test account over to the live site.  It will be set up before the test migration.  

  3. There was discussion whether to create a separate skin for De Anza.  It was decided to use the same skin and one account for De Anza for now.

  4. Another update 10.3.2.3 is required for SaaS (Does not affect ESL systems).  Very minor incremental update; will be released tonight or tomorrow night.  SaaS upgrade needs to be done, OU cannot hold it back for one client.  If it is required for the ESL side prior to our transport, OU will let us know.  Currently we are scheduled for the transport on 11/16 with a starting time of 8 a.m. and will take approximately 4-5 hours.

  5. De Anza users will be locked out while the transporter is running.  Larry will notify the users.

  6.  Data transport should take 1-2 hours.  Impact on the network traffic should be relatively low; it will be a continual encrypted stream, probably a few hundred megabytes.  Should not impact users on the ESL side.

  7. There is no pretest procedure for the transporter.  If they run into any problems, they will try and resolve it but if it cannot be resolved quickly, we will reschedule the transport to a further date.

  8. Micah will forward the network requirements ahead of time. Chris will be the contact.

  9. Tools themselves are VPN unaware.  They will need the VPN chain open. Micah will pretest.  

  10. There is an opened ticket (#29-525) which will be used to update the migration progress on November 16th.  Chris and Hasan should be on the ticket.  Micah will be standing by on 11/16.   Chris will communicate to De Anza when users can log back in.

  11. Take away items:
      1. Larry will notify users of the 4-5 hour lock out on 11/16.
      2. Micah will provide the network requirements to Chris, pretesting VPN and port access.
      3. Nov. 16th 8 a.m.-completion, Micah, Chris and Hasan will be on stand by.
      4. Micah will communicate progress or problems to Chris.
  12. Does moving to a ESL system affect third party authentication with Webdav?  OU will research.

  13. Larry is asking for feedback for the specs.  He will add 11/16 to the specs.
