EDUCATIONAL TECHNOLOGY ADVISORY
COMMITTEE

5/17/2006, 12:30-2:00 pm

ATTENDEES: Tom Dolen, Linda Elvin, David Gillett, Scott Heffner, Chuck Lindauer, Mike Murphy, Willie Pritchard, Jefferson Shirley

1. APPROVAL OF THE MINUTES OF THE LAST MEETING

· Will stand approved as posted

2. GENERAL NEWS –WIRELESS PROJECT UPDATE; ID MANAGEMENT SYSTEM PROJECT UPDATE; MAUI REPLACEMENT PROJECT UPDATE; MEETING MAKER MIGRATION REPORT; STANDARDS COMMITTEE REPORT

· Wireless Project Update

We have concluded a contract with WAN/LAN

Should have an order placed by the end of this week

The first phase of the project is to conduct a test on each campus in a small area

DA – The Kirsch building
FH – BSS lab

The first buildings to go on line in the June/July timeframe, for Beta testing, will be both libraries

Will beta test for about a month
During this time, will be installing the rest of the AP's and testing out the other buildings that will be brought on line for Phase I
Will go building by building after the libraries

By fall, all of Phase I should be active
Not looking for outdoor coverage during Phase I
The wireless is for the students and the public

If faculty want to use it, their access will be limited to the Internet

Won't be able to access anything confidential
Won't be able to get to any district business resources
Won't be able to print anything local

At this time, it will not be password protected, but you will have to identify yourself

Will not allow any anonymous access to the wireless network
When the IdManagement is in place, those people who have an association with the district, instead of logging in as a guest, will be logging in with a user name and password

Before a user can use the network, they will have to agree to the Districts' Computer Use Policy

· The ID Management System Update

Presentations and interviews from all the vendors have been completed

Have narrowed it down to a single vendor
Currently in the process of checking references

Hope to be able to take to the first Board meetings in June, for approval to enter into a contract with the vendor

After approval, ETS will be able to do some implementations during the summer

· MAUI Replacement

Received four quotes and have finished vendor presentations
Hoping to take the vendor selection to the board, targeting to be on the agenda for the first meeting in June
May have a vendor, but need to do some testing with their product to simulate some of our environments before a final decision is reached
If approved, it will take some time to replicate all the functionality
Will be web based instead of a stand alone application<br > Will be accessible by both MAC and PC users
There will be special licenses for designated power users

· Meeting Maker Migration Report

From a technical perspective, the migration went smoothly
Most of the calls to the Call Center were for user login names or passwords
Got some calls about the user interface being different
Will have an article in NewsBytes, which is due to come out in the next couple of weeks, explaining the new Meeting Maker features

ETS is planning on sending out a survey to get feedback

· Standards Committee Report

Had a special meeting on Tuesday, May 16th

Discussed the introduction of the new Apple laptop

The committee reviewed all of the new product lines for the Apple in terms of the MAC Book and the MAC Book Pro

The committee decided to standardize on the 15" Mac Book Pro

80G HD with IG of memory and the new Intel chip
Cost excluding tax and software is about $1,889
New standard is not yet posted to the web

When Boot Camp and Parallels (two ways of running Windows on the Mac) are fully released, the committee will decide if they will become a standard or have people order on an as needed basis only

Scott Heffner suggested that, maybe ETS needs to put out a warning that discourages the installation of either of these two products at this time

Sharon Luciw suggested that this be an article in NewsBytes
It was suggested that a warning be posted on the first page of the ETS website

Scott inquired about when Boot Camp and/or Parallels become part of the standard, would ETS then install XP as a standard on the MAC

Willie said that it would have to be discussed by the standards committee

3. NEXT MEETING TME

· There is a time conflict with the DA Technology Task Force and the next ETAC meeting (June 7th)

Will need to meet one more time, before the June 9th CAC meeting, to resolve all SLA issues
Will try to set up a short meeting on June 5th or 6th (30 min)

If there is no common time to meet, a decision will be reached on line
If DA faculty senate does not approve the SLA's when they meet on Monday, June 5th, this meeting will be cancelled

Sharon will need to get her revised SLA's to the faculty senate a week before they meet – no later than May 30th

4. SERVICE LEVEL AGREEMENTS – DISCUSSION PENDING APPROVAL

· Tom Dolen had a long list of suggested changes from the DA faculty senate – with the understanding that ETS may not have the staff or resources, but the list represented things the faculty would like to have happen

The suggested changes were reviewed briefly

Tom will send an electric copy of the suggested changes to Sharon so she can do FAQ's and have them ready for the next senate meeting (Monday, May 22nd) as well as have them posted to the web

· Willie would like to take the SLAs to the CAC, for approval and sign-off, before the end of this academic year

He would like to take to the June 9th CAC meeting for a first read
The SLAs will be updated, with the comments from ETAC members and their constituency groups, before going to the CAC

· Linda Elvin said she got through everything at the last DA classified senate meeting

They are anxious to see a finalized document for Technical Services
A senate member inquired about the shared support listed at the end of the IS SLA, and wanted to know if there shouldn't be more information

· ETS will get all updated SLAs posted to the web by next week
· Willie wants to create a single document out of all the completed SLA's and post it to the ETS website

5. OTHER ITEMS FROM THE COMMITTEE

· None were brought up
