EDUCATIONAL TECHNOLOGY ADVISORY

COMMITTEE

ATTENDEES: Kim Chief Elk, Jamie Doll, Linda Elvin, David Gillett, Jim Haynes, Allison Lenkeit, Chuck Lindauer, Dan Mitchell, Willie Pritchard, Jaci Ward

1. APPROVAL OF THE MINUTES OF THE LAST MEETING

· Will stand approved as posted

2. GENERAL NEWS - BRIEF SUMMARY OF SPAM/VIRUS FILTER RESULTS; CLARIFICATION ABOUT USE OF KEY LOGGER SOFTWARE AND BLUE SOCKET (FROM DAVID GILLETT)

· Willie briefly reviewed a memo he sent to the board on April 12th, outlining the results of our spam/virus filter from December 22, 2003 thru April 7, 2004

Chuck Lindauer mentioned that about 10% of his e-mail messages are now ETS generated spam - "Virus has been detected - message is blocked"
ETS passes messages on through because the filter does not know if a message is being expected from someone
By notifying you that a message has a virus attached to it, if it has come from someone you know, you can contact them to let them know that they may have had a virus or that their e-mail address may have been spoofed
This is a global setting that has to be either turned on or off for everybody - it cannot be individualized
Tom Roza is looking into the possibility of customizing the message to be more informative

· Key Logger is a generic function not a name of a particular program

It catches transmissions over the network and captures the actual key strokes

This is a means of capturing passwords, account numbers, etc. even if they have been encrypted

· Blue Socket allows us to give a different class of service to those unauthorized individuals who connect to our network

It does not identify wireless users
Authorized individuals are given more privileges
It allows for discrimination between users as well as authentication
It allows people to identify themselves to the network in order to be granted more privileges

3. SUBCOMMITTEE REPORTS - STANDARDS COMMITTEE; SPAM FILTER SUBCOMMITTEE (FROM TOM ROZA)

· Hardware & Software Committee - Willie Pritchard

No meeting since the last ETAC meeting

· Defining Spam Subcommittee - Tom Roza

The committee met Monday, April 19th
Willie reviewed the notes from the committees first meeting

This first meeting was mainly an orientation meeting
Tom began the meeting with a discussion to explain the role of the committee and how the spam firewall works
A question and answer session was held
A brief review was conducted to go over the 700 e-mails that have been sent to: ThisIsspam@fhda.edu or ThisIsNotspam@fhda.edu

Committee members were asked to see if they could find any patterns in these e-mails and report back at the next meeting

Chuck Lindauer would like to see the messages that are tagged with [Bulk] to come with buttons that automatically create email message to ThisIsspam@fhda.edu and ThisIsNotspam@fhda.edu

Willie will have Tom talk to Barracuda about this issue
David Gillett has put the two entries into his address book, in order to forward messages to the proper place

4. STRATEGIC PLANNING PROCESS - BREAK UP INTO GROUPS AND FOCUS ON OUR GUIDING PRINCIPLES

· Except for a minor spelling correction, the committee accepted the final draft of the vision statement
· The committee was broken into two groups to discuss and create a list of what the core guiding principles are, that we as a college and/or district stand for

Do not want IT guiding principles
The principles are what guide you in your day-to-day work; they help you get to your goal
Want the principles that are underlying the operations and the overall goals of the District

Why do we exist?
What is our purpose?
What is the mission?
What principles do we hold important to us?
What are the core principles of the District?

These guiding principles will be turned into a District plan
These principles will help determine what the goal and objectives are
There was the suggestion that the plans that have been established by both colleges and the district, be used as a basis for the discussion
Committee members need to look at the Mission & Value Statements and how they apply to technology
