GENERAL NEWS – NEWSBYTES TO BE SENT OUT ON MONDAY, PRIMARY TOPIC WILL
BE CALL CENTER WORK, IR REPORT ON CORRELATION OF TAKING ENGLISH CLASSES TO
SUCCESS RATES FOR STUDENTS IN BSS AT FOOTHILL; PRELIMINARY LOOK AT SURVEY
RESULTS

NewsBytes will be sent out on Monday, February 10th
Primary topic
is the work of the Call Center
This issue will focus on some of the data collected in the DK Help database
for the past two years
ETS is now able to do some analysis about the work processes and the results
This is not a complete analysis
IR Spotlight - based on a study that Institutional Research has done
The next regular feature will focus on the correlation between taking English
classes and how that maps to student success in Business & Social
Science classes at Foothill
Took the survey
off line a couple of weeks ago
Reviewed some of the preliminary results
There was a brief review of certain questions and how they compared to last
years responses
The final survey results will be broken down by location and employee group
Greg McIlhiney thought that question #26 (Who/what is your preferred source
for solving problems with computers?), was too general
There was a suggestion that there is analysis of the number of users who
go the ETS website
May be able to do when the new Central Services website comes on line the
end of this month
DK Help is good because you can see where your ticket is
This seems to be the most efficient way according to Wayne Chenoweth
ETS is working on a process
to handle calls
Technicians
are working with the Call Center staff on scripts for frequent requests
made to the Call Center
They will be asking more specific questions to get the proper information
entered onto each ticket
Eventually the he scripts will be able to appear on the screen when a call
comes in
According to Dennis Shannakian things are getting much better with callbacks
When an e-mail is sent to open a ticket, your message is now pasted into
the ticket
Will probably have a much more complete report on the results of the survey

SUBCOMMITTEE REPORTS – HARDWARE/SOFTWARE STANDARDS, WEB STANDARDS, NETWORK
& SYSTEMS, INSTRUCTIONAL TECHNOLOGY, INFORMATION SYSTEMS, COMPUTER USE

Network & Systems, & Web Committee - Sharon Luciw
No update
Sharon Luciw proposed the merging of both subcommittees and calling the
new committee the Network & Systems Subcommittee
Both committees discuss about the same thing and have some of the same members
At this point in time, may have moved beyond the need of a web standards
committee since the both colleges have initiated their own committees
Bradley Creamer
on DA has a web server committee
FH has a web committee, but it doesn’t meet very often
Wayne Chenoweth seconded the motion to merge
The consensus was to disband
the Web Standards Subcommittee and make a single committee called Network
& Systems
Sharon Luciw
was delegated to come up with who should be on the new subcommittee
Sharon will try to have an article related to security every other time
in NewsBytes

Software - Willie
Had a meeting
on Tuesday, February 4th
Did a general tweaking to the standards and posted them to the ETS website
The committee is looking at the Section 508 standards
Did an analysis of the iBook vs. the Power Book
Changed the recommended standards for a scanner and ink jet printer (These
items are not supported by ETS)
For a scanner
- HP
For an ink jet printer - was Epson, now ETS recommends an HP
ETS is not officially supporting
OS X (Apple is not shipping computers with OS X, yet)
Some locations
on the DA campus are required to have OS X to run certain applications,
such as the CATS counseling program
ETS is in the process of putting together a plan to do a systematic upgrade,
to OS X, throughout the district

Has a committee
assembled
Committee representation had been decided, by ETAC, last fall
It has been difficult to find individuals to serve on the committee
First meeting is scheduled for Thursday, February 20th at 9:30
am in the FH Board Room
Introduction to be made by Willie
This committee is to address data security and create a policy that will
help IS prioritize the work that comes in

Committee
At the two public
meetings, there was an explanation of how the committee responded to the
publics input during the fall quarter
The policy will be going to:
The FH Round
Table on or about February 19th
The DA College Council on or about February 19th
Will come back to ETAC (Feb/ March)
Then onto Chancellor’s Advisory Council for approval (March/April)
And then onto the Bard for approval (April)
What impact to students is
there by this policy?
Colleges' don't
see a problem with this policy
Should make a list of what is prohibited and have it posted
The attorney recommends that there be a statement stating that nothing in
this policy should supersede or override any other policy related to students
Policy should be able to move through the governance process fairly quickly
Greg McIlhiney would like to see workshops on how staff should handle issues
related to students
There should be representatives from all labs who attend the
workshop
These workshops should be handled through the campuses and not ETS

Committee has already met
· Had a draft up on the web
· Made revisions to the draft
· Committee will meet February 13th
· Wayne is meeting with Apple at 11:00 am today to discuss OS X
compliance to section 508
·
Willie reviewed a handout that summarized ETS’ budget based upon a 15%
cut
· Core contracts come to $1,533,746
· Core staff to support mission critical operations comes to $5,605,889
· Total that cannot be cut w/out impacting mission critical services
is $7,139,635
· Total remaining left not in the mission critical area is $2,478,220
· A total reduction of 15% to the total ETS budget is $1,442,678
6. OTHER ITEMS FROM THE
COMMITTEE

SEVIS
INS reporting
Pat Fifield is on SEVIS committee
1/30/03 was the last deadline
The deadline has been moved four times because INS was not ready
SEVIS reporting was stimulated by the 9/11 incident
The main purpose is for tracking foreign students
SEVIS has not been implemented as of yet, but all the colleges are about
ready to go
ETS will need to process through a batch system
Currently trying to create an alternate ID, which is being pushed by SEVIS
Is supposed to remove the SS# and use an alternate ID instead
Will be more difficult to differentiate between foreign and domestic students
There has always
been a fear of having to use SS#’s on checks

Computer Viruses
ETS does not
support Outlook on the PC – this is where we get most of our viruses
District e-mail standard is Eudora
Tend to get more viruses on servers
Should protect computers from viruses by doing a virus check once a month
If Outlook is currently installed on PC’s as part of the software
package, it needs to be removed
· A needs analysis
is being done for the data warehouse, which is being constructed
The Institutional
Research office & a member of Gerry’s staff are doing this
Dennis Shannakian would like to be a part of the needs analysis for the
Maui replacement
